Office and Scheduling Coordinator - Home Health Department

MUST BE BILINGUAL: English/Spanish, English/Cape Verdean Creole, or English/Portuguese
Schedule: Monday-Friday, 8:00 AM - 4:00 PM
Onsite parking and street parking; opportunity for permanent placement

Position Summary:
The Office and Scheduling Coordinator will work within the Home Health department to coordinate schedules for approximately 150 patients and their caregivers, including home health aides and nurses. The role ensures compliance with EVV regulations, facilitates communication, manages data, and supports the overall quality of care.

Key Responsibilities:

  • Coordinate schedules for patients and caregivers, considering availability, preferences, language, specialized care, and geographical factors.

  • Ensure compliance with EVV regulations, documenting time, location, and service details.

  • Continuously update schedules to accommodate changes in client or caregiver plans.

  • Communicate scheduling changes and conflicts to relevant parties.

  • Assist with EVV system usage, including scheduling, troubleshooting, report processing, and database management.

  • Support ongoing training for EVV use and compliance.

  • Monitor and report issues with software/programs to the Director of Operations.

  • Collaborate with the Director of Operations regarding quality of services and report reviews.

  • Schedule all clinical staff visits, including SOC, ROC, and recertifications.

  • Assist with prior authorizations.

  • Perform data entry for scheduling and referrals.

  • Answer phones, screen calls, take messages, and respond to routine inquiries.

  • Screen calls for the Home Care Director and page staff as needed.

  • Copy, fax, and distribute assignments while meeting deadlines.

  • Support collection, enrollment, and billing data.

  • Verify MassHealth and private insurance.

  • Track and enter signed orders into electronic record systems.

  • Create reports, memoranda, correspondence, notices, and bulletins for supervisors.

Required Skills/Qualifications:

  • 3+ years of medical administrative experience

  • Bilingual: English/Spanish, English/Cape Verdean Creole, or English/Portuguese

Preferred Skills:

  • Previous Home Health coordinating experience
