Forrest Solutions is seeking a professional, client-service-oriented Receptionist to join our team. This is an excellent opportunity for someone with a friendly and energetic demeanor, strong organizational skills, and the ability to multitask in a dynamic environment.
Key Responsibilities:
- Greet and welcome visitors upon arrival or over the phone with a warm and professional approach.
- Maintain best-in-class telephone etiquette, customer service, and hospitality at all times.
- Provide appropriate guidance to clients, guests, and colleagues, ensuring a positive experience.
- Register all incoming guests and notify the appropriate party of the guest’s arrival immediately via email or phone.
- Issue Access Control ID badges to visitors as required, and keep a record of all issued badges in the Daily Badge Issue Log.
- Provide temporary Access Control ID badges to employees or contractors and update profiles in the Genetec Enterprise Security System.
- Assist walk-in clients by contacting the relevant service representatives or managers on-site.
- Keep the Reception area clean and organized at all times, ensuring a welcoming environment.
- Ensure that no eating or drinking occurs at the desk.
- Assist with administrative duties as directed.
General Services Responsibilities:
- Coordinate with catering services (on-site or external) for food delivery and setup, and contact catering for clean-up after meetings.
- Inform facilities management of any maintenance issues, such as light outages, carpet spills, or furniture-related concerns.
- Report building-related issues (restrooms, elevators, etc.) via the Aware work order system.
- Ensure proper operation of company entry doors and report any malfunctions to facilities.
- Monitor CCTV for unusual activity or propped doors and report immediately to facilities.
- Participate in annual Evacuation Drills and assist facilities in coordinating and recording data.
Preferred Qualifications:
- CPR and First Aid certification.
Skills & Experience:
- Proficient in Microsoft Office (Word, Excel, Outlook).
- Solid organizational and multitasking skills.
- Professional dress code and grooming standards.
- Excellent communication skills, both verbal and written.
- Ability to build rapport with guests and colleagues.
Additional Duties:
- Assist with mailroom deliveries and ensure access is provided for USPS, UPS, and FedEx deliveries.
