Role Overview:
The Warranty Administrator handles all issues concerning product warranties, applications, problems, and claims. Warranties constitute a significant part of customer care. The warranty administrator inspects warranty claims if eligible and expedites requests after passing all requirements for granting a warranty claim. The warranty administrator organizes all customer information concerning warranties and stores it securely. The administrator is also responsible for generating reports for the management to analyze and assess.
Key Responsibilities:
- Processes warranty claims on a timely basis for each franchise or distributor.
- Processes all warranty paperwork to ensure proper documentation according to the manufacturer's guidelines.
- Verifies criteria required by factory or distributor.
- Reconciles all warranty receivables with payments through the appropriate accounting schedule.
- Posts credits on computer.
- Resubmits all rejected claims promptly or receives authorization to write them off.
- Follows up on payment of outstanding claims.
- Tracks warranty parts by tagging with repair order number, date of replacement and date on which part may be disposed of.
- Files and maintains all service records as required by the warrantor.
- Keeps informed of all factory recalls and bulletins.
- Assists with body shop warranty claims as needed.
- Assists with the cashier and telephone duties as needed.
- Assists with any clerical needs as directed by the fixed operations manager or the controller.
- Maintains a professional appearance and a neat work area.
- Performs other duties as assigned.
- Meet specified monthly targets and goals which will be given prior to each month.
- Contribute to the overall success of the motor group by working with all customers, teams, and departments collaboratively and professionally with a positive attitude.
- Be team-oriented with a desire to achieve both individual and collective goals.
- All other duties assigned by management.
Experience Requirements:
- 1-2yrs experience processing automotive warranty claims for any of the following (Volkswagen, Volvo, Mazda, Subaru)
- A strong understanding of automotive technology and the automotive industry is a plus.
- Knowledge of warranty regulations and industry best practices a plus.
- Computer and communication skills must be at an intermediate level (Microsoft office suite, Excel, Word).
- Experience with Dealertrack or similar dealership management systems a plus.
- Strong decision-making ability and organization are required.
- Employees must have a high level to attention to detail.
- Employee must be able to read, write, understand and speak English.
Physical Requirements:
Employees must be able to sit/stand for long periods of time. Use their hands to handle, control or feel objects, tools, or controls. Repeat the same movements for over 8 hours a day. Occasionally you need to lift boxes up to 10 lbs. Occasional bending, walking, and mobility will be necessary. Employee must be able to get in and out of vehicles and shovel/ assist with snow removal when necessary. Ability to stand, walk, climb, stoop/bend, and reach is required. Employee must be able to speak clearly for repetitiously for over 8 hours a day.
