Position Overview

Fertility Billing & Financial Operations Specialist – Terra Fertility

Key Responsibilities

  • Assist patients with treatment cost estimates, ensure signed patient agreements are received prior to treatment start.
  • Expected to speak with patients in the office, over the phone, via a patient portal or an Online meeting platform to provide a clear detailed outline of insurance coverage and required deposits for treatments.
  • Educate patients on self-pay financial packages and financing options.
  • Check online insurance portals to verify current coverage details align with the billing system details.
  • Documentation in the Medical EMR and Medical Billing system to ensure appropriate billing of services.
  • Review the treatment Query daily to determine cases in progress and organize patient outreach.
  • Access online insurance portals for electronic submission of authorization requests in a timely manner.
  • Discuss treatment authorization outcome with internal team and patients when appropriate.
  • Daily processing of credit card payments in the appropriate payment portal.
  • Review and analyze patient accounts to communicate accurate financial status to care teams, prior to treatment starts.
  • Provide financial Clearance for intended treatment, once all required deposits and authorization, if needed, are in place.
  • Ensure reimbursement is obtained for services provided to non-insured or under-insured patients.
  • Support patient requests for refunds or unused pre-paid services. Coordinate refunds with the AR Team.
  • Act as a resource for insurance documentation, registration, and account corrections.

Required & Preferred Qualifications

  • Bachelor’s degree preferred.
  • 3+ years’ experience in healthcare finance or billing required.
  • Experience in fertility or OBGYN financial coordination is strongly preferred.
  • Proficiency in medical terminology and practice.
  • Experience with Electronic Medical Records (EMR).
  • Strong proficiency in Microsoft Office (Word, Excel, Outlook).
  • Exceptional communication, organizational, and customer service skills.
  • Ability to simplify and explain complex financial concepts to patients.

Employment typeThe position is 40 hours per week (Monday–Friday, 8 hours/day).

Full time on site in Dedham, Massachusetts with possibility of hybrid in future.

  • Hourly rate: $25–$40 depending on education, experience and skill set.
