THE ROLE

As a core part of the administrative support function, you will act as the operational backbone for a busy legal practice. You’ll manage competing priorities with discretion, maintain immaculate files and documents, and ensure the Partner and attorneys remain focused on client work.

This is a role for someone who is calm under pressure, exceptionally organised, and understands the standards of a high-performance legal environment.

KEY RESPONSIBILITIES

  • Act as a professional first point of contact for clients, internal teams, and external counsel
  • Manage complex calendars, scheduling across time zones and shifting priorities
  • Handle inbox/phone triage and ensure priorities are actioned swiftly
  • Prepare, format, edit, and proofread legal documents with exceptional accuracy
  • Maintain and manage client/matter files (electronic and hard copy where applicable)
  • Coordinate filings and court submissions as required (experience with e-filing is highly valued)
  • Support conflict checks, client onboarding, and engagement processes
  • Assist with billing processes, proformas, time entry, and general financial tracking
  • Arrange domestic/international travel, itineraries, expenses, and reimbursements
  • Coordinate meetings, conferences, and client-facing events
  • Liaise with internal departments (billing, HR, IT, records, facilities) to keep workflows moving
  • Handle highly sensitive information with complete discretion

WHAT WE’RE LOOKING FOR

Experience:

  • 2+ years supporting attorneys in a top law firm or corporate/professional services environment
  • Exposure to Big Law standards strongly preferred

Skills & Strengths:

  • Strong document production capabilities (Word formatting, styling, tables, TOCs, redlines)
  • Excellent attention to detail and ability to work to tight deadlines
  • Confident communicator with polished, professional judgement
  • Comfortable juggling priorities and anticipating needs
  • Ability to maintain discretion and confidentiality at all times

Tech:

  • Strong MS Office skills required (Word, Outlook, Excel, PowerPoint)
  • Familiarity with document management systems and e-billing is a plus

Education:

  • Bachelor’s degree preferred (but not essential for the right profile)

WHY THIS OPPORTUNITY

  • Join a globally recognised firm with an outstanding reputation in Boston
  • Work closely with an impressive Partner and high-performing team
  • Excellent professional development and long-term progression potential
