Role and Responsibilities for the Office Administrator:
Office Administration:
- Manage the executive team's calendars and schedule meetings.
- Coordinate and manage projects from conception to completion.
- Organize and maintain files and records, both electronic and physical
- Answer and screen phone calls, emails and other correspondence
- Make travel arrangements and coordinate logistics for executive team members.
- Assist with the preparation of reports, presentations, and other documents.
- Manage and maintain office supplies and equipment.
- Act as a liaison between executive team members and other employees, clients and vendors.
Assist with the following Vendor Management:
- Create, maintain, and organize vendor profiles in Manatal (ATS), ensuring accurate records and compliance documentation.
- Assist with vendor onboarding, ensuring all required documents (contracts, NDAs, compliance forms) are collected and stored securely.
- Track and manage vendor performance metrics, providing feedback to vendors and identifying top-performing partners.
- Maintain a consistent communication channel with vendors, handling inquiries, coordinating meetings, and resolving issues.
- Ensure vendor compliance with company policies and regulatory requirements, conducting periodic document reviews.
- Collaborate with Finance to verify vendor invoices, monitor payment status, and resolve payment discrepancies.
- Generate reports to provide insights into vendor performance, compliance status, and cost-effectiveness.
- Manage vendor renewals, terminations, and record archiving within the ATS.
Qualifications for the Office Administrator
- High school diploma or equivalent required; Associates or Bachelors degree preferred.
- 2+ years of experience in office administration or a similar role.
- Experience with Applicant Tracking Systems (Manatal preferred).
- Strong organizational skills and attention to detail.
- Proficient in Microsoft Office Suite (Word, Excel, Outlook, Teams).
- Excellent written and verbal communication skills.
- Ability to multitask and prioritize in a fast-paced environment.
- Problem-solving skills and a proactive attitude.
- High level of professionalism and discretion.
- Ability to work in a fast-paced and deadline-driven environment.
Compensation
Salary Range: $41,600 - $52,000/year DOE
*The ideal candidate will have the ability to lead and execute initiatives with cross functional teams internally and externally to the organization.
