Position Summary
The Regulatory Operations Coordinator serves as the primary point of contact for scheduling and coordinating regulatory observation activities within a large public transit rail system. This role requires strong organizational skills, attention to detail, and the ability to effectively communicate with internal departments and external regulatory agencies.
Responsibilities

Serve as the primary liaison for scheduling OTIP observations with regulatory agencies

Receive and manage daily and weekly communications related to OTIP observation scheduling
-
Coordinate and schedule regulatory agency observations of OTIP surveys
-
Communicate observation requests with appropriate internal departments and external stakeholders
-
Maintain and update an electronic log of OTIP observations
-
Coordinate communications among all parties involved in the observation process
-
Address questions and troubleshoot concerns related to OTIP observations
-
Escalate observation-related concerns to appropriate leadership when necessary
-
Prepare reports related to OTIP observations as requested
-
Maintain safety documentation files related to OTIP activities
-
Represent the Safety Documentation team at meetings related to OTIP and regulatory observations, as assigned

Attend departmental meetings

Perform additional administrative duties as assigned
Required Skills

Strong organizational and multitasking abilities

Ability to communicate effectively using various communication tools, including mobile devices

Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and SharePoint
-
Excellent communication and interpersonal skills

Proficiency with standard office software and office equipment

Strong problem-solving and customer service skills

High attention to detail, accuracy, and professionalism
Qualifications

Bachelor’s degree required
-
1–3 years of administrative and/or customer service experience
-
An Associate’s degree or High School Diploma/GED with equivalent experience may substitute for a Bachelor’s degree
-
Experience working with regulatory agencies preferred but not required
