Community Bridges is looking for a full-time Office Administrator!
We are a non-profit agency founded in 1982 with a mission to advance the integration, growth, and interdependence of people with developmental disabilities within their own communities. Building on the strengths of over 1,100 individuals in the greater Capital Area and their families, we work to identify barriers of access to find creative solutions to develop meaningful community engagement.
The Office Administrator is responsible for tracking the administrative segment of the ISA/BSA and Amendment process along with the necessary data entry involved in this process. This position serves as the primary back up to the Receptionist/Switchboard position which involves answering calls, distributing calls and greeting guests in a courteous professional manner.
Qualifications:
- Education: High School Diploma
- Experience: Two years' experience in a clerical or administrative position; experience with human service agencies preferred. Advanced Experience with Microsoft Word, Excel, Access and Outlook are a must. Docusign experience a plus.
Compensation and Benefits:
There is a $1000 sign-on bonus for this position - $500 will be paid at the time of hire and $500 will be paid after 6 months in the role. *Please note, sign-on bonuses are for new hires only. Re-hires and transfers are not eligible at this time.
Paid Time Off: For a full-time employee working 40 hours a week, 264.16 hours of Paid Time Off is received per year! PTO days will increase over the years based on longevity and there is no waiting period to start using your PTO!

Mileage Reimbursement: Employees are reimbursed for approved mileage driven on the clock.

Specific Duties and Responsibilities:
l. ISA/BSA & Amendment Processing - ISA, BSA and Amendment tracking process with SignIn Tracking sheet, once approved by IFS Supervisor mailing ISA/BSA or Amendment to individual or guardian for signature, recording data into the ISPT Access platform, completing the approval process once received by guardian or tacitly approving documentation. Distributing completed documents to Records department for Docstar upload.
2. Switchboard - Receptionist Back-up Coverase: Primary backup for Receptionist position for lunch breaks and/or vacation; covering phones and assisting guests as they arrive for meetings and or appointments. Keeping the Lobby area clean and safe for guests specifically during inclement weather months.
3. Mail bin & Name plaques: Maintains mail bins to remain current with new hire and terminations. Creates name plaques for in office staff.
4. Job Aid - Ensure that IFS Admin Support Specialist Job Aid is kept current and accurate with any and all protocol changes as they occur using the "Track Changes" method via WORD.
5. Other Duties: Provides agency support at the request of Sr. Office Administrator or IFS Management team. Provides backup support to other administrative positions as needed.

- Must possess group process skills and the ability to facilitate large groups.
- Working knowledge of behavioral strategies.
- Working knowledge of supports and services for individuals who may possess psychiatric disorders and acquired brain disorder and their impact.
- Be familiar with the functions and regulations of ancillary support systems.
Work Environment and Physical Demands:
1. Work Environment - must be able to self-manage work tasks. Some periods work flow is more demanding than others. Some periods of stress. Will periodically have a short deadline to complete tasks.
2. Physical Demands - must be able to sit and work at a computer for extended periods of time. Must be able to bend and reach and lift up to l0 pounds
