Shift: Monday–Friday, 8:00 AM – 5:00 PM/ 8:30am - 5:30pm
Job Summary
We are seeking a dependable, professional, and highly organized Office Services Associate to support daily business operations at our Boston, MA client site. This position plays a key role in ensuring smooth office operations, exceptional client service, and a polished, welcoming workplace experience.
The ideal candidate will be detail-oriented, adaptable, and comfortable handling a variety of administrative, facilities, and hospitality tasks in a fast-paced corporate environment.
Key Responsibilities
Reception & Front Desk Support
- Serve as the first point of contact for clients and visitors, providing a warm, professional welcome.
- Manage visitor registration, issue badges, and maintain accurate logs.
- Answer and direct phone calls, take messages, and assist with inquiries promptly and courteously.
- Maintain a clean, organized, and professional reception area.
Conference Services & Hospitality
- Coordinate setup and breakdown of conference rooms, including furniture arrangement and AV equipment.
- Organize catering deliveries, set up refreshments, and ensure meeting spaces are clean and guest-ready.
- Monitor meetings to provide in-room support such as lighting, temperature, or AV adjustments.
Mailroom & Shipping Support
- Receive, sort, and distribute incoming mail and packages throughout the office.
- Prepare and process outgoing shipments via postal and courier services.
- Maintain mail logs and ensure mailroom organization and cleanliness.
Administrative & Inventory Management
- Support office teams with clerical tasks such as data entry, filing, scanning, and supply ordering.
- Monitor and replenish office and hospitality supplies to ensure consistent availability.
- Maintain accurate records and assist with basic reporting as needed.
- Handle sensitive and confidential documents with discretion.
Facilities & General Support
- Perform light facilities tasks such as restocking supplies, coordinating maintenance requests, and assisting with workstation setups.
- Conduct regular walk-throughs to ensure common areas are clean, functional, and well-maintained.
- Collaborate with vendors and building management as needed to support daily operations.
Print & Copy Center Support
- Operate high-volume printers, copiers, and binding equipment for client or internal print jobs.
- Review print requests for accuracy and ensure high-quality output.
- Perform light maintenance on print equipment (replacing toner, clearing jams, etc.).
Qualifications
- 2–3 years of experience in office support, facilities, hospitality, or administrative services (corporate or legal setting preferred).
- Proficiency in Microsoft Office Suite and general office technology (copiers, phone systems, mail tracking tools, etc.).
- Excellent customer service and communication skills with a professional, client-first attitude.
- Highly organized, dependable, and able to manage multiple priorities effectively.
- Ability to lift up to 50 lbs and remain on your feet for extended periods.
- Demonstrated discretion and confidentiality in handling sensitive information.
