Job Summary:We are seeking a detail-oriented and highly organized Administrative Assistant II to support our team with a variety of administrative tasks and internal processes. The ideal candidate will be skilled in travel coordination, expense tracking, and data management, while also being a strong communicator and problem solver who thrives in a fast-paced environment.
Key Responsibilities:
- Coordinate and manage travel arrangements for team members; process and reconcile related expense reports.
- Track and code invoices/expenses to appropriate accounts, report variances, and resolve discrepancies.
- Process Annual Reviews (ARs), Sector Reviews, and purchase reports; update internal systems with rating changes or follow-up as needed.
- Monitor the AR Late List and notify the team of upcoming or overdue ARs.
- Support analysts by processing AML/KYC checks and managing documentation.
- Assist in preparing quarterly Loan Review packages and maintain shared document systems.
- Manage incoming compliance reports and perform outreach for overdue external documentation.
- Assist in ad-hoc data compilation and portfolio-related requests.
- Arrange meeting rooms, refreshments, and logistics for internal/external meetings.
- Organize and attend regular internal meetings, prepare agendas, and track follow-up actions.
- Maintain department subscriptions and records (e.g., Wall Street Journal list).
- Participate in broader departmental projects as assigned.
Required Qualifications:
- Minimum 2 years of administrative support experience.
- Proficiency in Microsoft Office Suite (Outlook, Excel, Word, PowerPoint).
- Skilled in managing multiple priorities and meeting tight deadlines.
- Strong ability to gather, consolidate, and organize data from various sources.
- Ability to manage confidential information with discretion and professionalism.
Preferred Qualifications:
- Familiarity with Concur travel and expense management.
- Experience using MyCWT (or similar corporate travel tools).

Education:
