Role Overview
The Hardware Operations Associate plays a key role in the intake, lifecycle management, and distribution of end-user hardware (mostly laptops) across multiple client environments. The person in this role will help coordinate the purchase, intake, tagging, storage, imaging, shipment, tracking, and retrieval of laptops and accessories. The role includes a mix of technical troubleshooting, logistics, process optimization, and collaboration with internal and client-facing teams.
The ideal candidate loves hardware - especially Apple laptops and accessories - and is excited to work hands-on with it every day. This role also requires someone who is fearless when navigating complex courier workflows, including understanding the nuances of FedEx service tiers, international shipping requirements, and time-sensitive delivery challenges. Additionally, this role includes opportunities to participate in resale and hardware liquidation workflows, including listing equipment for sale and occasionally supporting in-person transactions.
This is a hands-on, operational role based onsite in our Boston office.
Key Responsibilities
Hardware and Asset Management
- Receive, tag, thoroughly clean, inventory, and shelve laptops and peripherals
- Keep inventory shelves neatly organized and ordered
- Re-tag assets with missing or damaged identifiers or updated artwork where necessary
- Perform basic upgrades where applicable (RAM, SSD) as needed
Shipping and Logistics
- Assist with boxing up assets for outbound shipment and as well as unboxing returns, updating inventory accordingly
- Create, manage, and track inbound and outbound shipments (domestic and international), and assist with communication to clients about fulfillment questions.
- Work with carriers to resolve delivery issues as needed (e.g. FedEx delays, international customs, re-routing issues)
- Schedule pickups for end users and track deliveries
- Occasional need to drop off or pick up machines from client offices in Boston, including e-waste recycling
Ordering and Inventory Oversight
- Track inventory levels of devices, accessories, and office hardware
- Coordinate with vendors for purchases and repairs
- Manage peripheral requests (mice, keyboards, dongles, webcams)
- Prepare purchasing quotes and ensure restock of Pixel and client items
Client Coordination
- Provide assistance to clients for common questions related to new hires, terminations, device refreshes/swaps
- Collaborate with internal teams on workflow automations (ex: return processes that result from terminations)
- Use Jira Service Management, Asana, ITGlue, and Slack to manage and resolve hardware-related tickets
- Maintain documentation and participate in ongoing process improvements
- Communicate effectively with Client Success, HR, and other internal stakeholders
Sales and Disposition Support
- Assist with hardware resale initiatives (e.g., eBay listings, specs documentation, photography)
- Coordinate pickup or drop-off of in-person resale transactions
- Track resale inventory and flag high-potential or aging assets
Requirements
- Genuine enthusiasm and strong working familiarity with computer hardware
- Ability to independently manage all aspects of client hardware intake, distribution, lifecycle processing, and disposal workflows
- Attention to detail and ability to spot and escalate irregularities
- Strong organizational skills and multitasking ability
- Comfort using or learning tools like Jira Service Management, Asana, Airtable, and inventory systems
- Clear written and verbal communication skills, especially in Slack and on Zoom
- Ability to lift and move boxes up to 40 lbs
Bonus:
- Experience with international shipping, customs forms, or global logistics
- Experience in enterprise, MSP, tech support, or IT asset management
- Familiarity with MDM systems (Kandji, Addigy, Mosyle, etc)
- Comfort with light scripting, automation, or systematizing workflows
- Experience with hardware resale platforms such as eBay
