Facilities Administrator/Coordinator

Shift: Monday – Friday, 8:00 AM – 4:00 PM

Job Description:
The Facilities Administrator/Coordinator is a highly visible, service-oriented position supporting the front desk reception area and interfacing with the Facilities Site Manager, corporate operations, and both union and non-union trades. This role requires a dependable self-starter with strong multitasking capabilities and leadership by example.

Primary Responsibilities:

• Staff reception desk and manage visitor sign-ins
• Issue employee badges and update badge access control systems
• Support vendor registration and PO creation
• Track utility costs and purchase order/invoice budgets
• Manage work orders and preventive maintenance schedules in CMMS
• Attend daily operations meetings
• Maintain accurate asset registry and assign PMs accordingly
• Ensure documentation adheres to Good Documentation Practices (GDP)

Qualifications:

• Proficiency in CMMS beyond basic user level
• Strong Microsoft Office and administrative skills
• Excellent written and verbal communication
• Organizational and interpersonal strengths
• Technical knowledge relevant to facilities and operations

Education and Experience:

• College or technical degree or equivalent experience
• Experience in facilities, operations, or related field
• Life Science industry experience preferred
