Accounting Specialist

Gourmet Caterers is New England’s largest privately owned and operated caterer, which plans and executes events from 10 to 10,000 people. Position Overview: The Accounting Specialist plays a key role in supporting the financial operations of Gourmet. This role includes managing invoices, processing payments, maintaining accurate financial records, and assisting with reporting and special projects. The Accounting Specialist will work closely with management to ensure the timely and accurate handling of accounts payable, vendor communications, and financial documentation. This position requires someone who can follow directions, work independently, and work in a team environment.
Responsibilities
· Monitor the Bill.com inbox daily and upload invoices for approval.
· Review and organize accounting emails to ensure proper documentation and processing.
· Enter new invoices manually into the system as required.
· Prepare and distribute weekly reports of unpaid bills and approved payments for management.
· Meet weekly with management to review invoices, cash handling, and approval processes.
· Sort, prepare, and deposit cash in compliance with company policies.
· Process vendor payments weekly, or as required, through Bill.com and vendor online portals.
· Communicate directly with vendors regarding billing inquiries, discrepancies, and payments.
· Maintain and update the monthly Vendor Tracking spreadsheet for management.
· Provide support on special projects assigned by senior leadership.
Qualifications
· Associate’s degree in Accounting, Finance, or related field preferred ( but will be accepted if they have relevant work experience)
· 2+ years of experience in accounts payable, bookkeeping, or general accounting.
· Proficiency with accounting software; experience in Business Central Dynamics and Bill.com strongly preferred.
· Strong attention to detail with excellent organizational and record-keeping skills.
· Ability to manage multiple tasks, prioritize deadlines, and maintain accuracy.
· Strong written and verbal communication skills for working with management, vendors, and colleagues.
· High level of integrity, confidentiality, and professionalism in handling financial data.
· Proficient in Microsoft Excel and other MS Office applications.
