Events Catering Manager
Location: Rita’s Enterprises Inc. – Everett, Massachusetts
Position Summary
The Events Catering Manager is responsible for the planning, coordination, and flawless execution of all catered events for Rita’s Enterprises Inc. This role requires hands-on leadership, exceptional organizational skills, and the ability to oversee every detail from client inquiry through post-event follow-up. The manager serves as the central liaison between clients, the culinary team, operations, vendors, and on-site staff to ensure that each event reflects Rita’s reputation as New England’s premier gourmet catering and hospitality company.
Mandatory Requirement: Applicants must have a minimum of 3+ years of proven experience in catering and event management, preferably in a high-volume or high-end hospitality environment.
Key Responsibilities
Client & Sales Coordination
- Serve as the primary point of contact for clients, managing all communication from initial inquiry through event completion.
- Conduct consultations to assess client needs (guest count, menu preferences, budget, dietary restrictions, venue logistics, etc.).
- Develop and present detailed proposals, event packages, and banquet/event orders (BEOs).
- Ensure timely approvals and maintain positive client relationships.
Event Planning & Logistics
- Oversee event schedules, timelines, and checklists to guarantee efficient setup, service, and breakdown.
- Coordinate all event logistics including menus, rentals, staffing, décor, equipment, transportation, and venue requirements.
- Ensure each event is executed to Rita’s standards of quality, professionalism, and guest satisfaction.
Menu & Service Design
- Collaborate with the culinary team to customize menus based on event type and client preferences.
- Determine appropriate service styles (buffet, plated, stations, passed hors d’oeuvres, etc.).
- Guarantee all menu items are prepared, transported, and presented to the highest standards.
Staff Leadership & Management
- Recruit, schedule, train, and supervise catering staff including servers, bartenders, and on-site supervisors.
- Provide clear direction to event staff, delegate responsibilities, and ensure professional conduct.
- Foster a positive and efficient work environment while maintaining high service standards.
Vendor & Supplier Relations
- Establish and maintain relationships with vendors for rentals, floral, décor, AV, and other event needs.
- Negotiate contracts, secure competitive pricing, and confirm timely delivery of goods and services.
Financial Management
- Prepare detailed cost estimates, budgets, and invoices for events.
- Track and control food, labor, and equipment costs to ensure profitability.
- Monitor deposits, payments, and reconcile accounts post-event.
On-Site Event Supervision
- Lead on-site setup and breakdown; monitor timelines and staff performance.
- Troubleshoot last-minute issues (weather, delivery delays, guest accommodations).
- Ensure guest satisfaction and provide solutions for any service concerns.
Quality Assurance & Compliance
- Enforce health and safety standards, including food safety, sanitation, and allergen protocols.
- Ensure compliance with Massachusetts state and local regulations, alcohol service policies, and company policies.
- Conduct post-event evaluations and submit reports to improve future operations.
Qualifications & Requirements
- Mandatory: Minimum of 3+ years of experience in catering and event management (corporate, social, or hospitality settings).
- Bachelor’s degree in Hospitality Management, Business, or related field preferred, but equivalent experience will be considered.
- Proven success in planning and executing events of varying sizes (50–1,000+ guests).
- Strong leadership and team management skills with experience supervising event staff.
- Excellent organizational, problem-solving, and multitasking abilities.
- Professional written and verbal communication skills; ability to manage client relationships effectively.
- Financial acumen: capable of budgeting, cost control, and revenue tracking.
- Proficiency in Microsoft Office Suite and catering/event management software.
- Flexibility to work evenings, weekends, and holidays as required by event schedules.
- Ability to lift up to 30 lbs. and remain on feet for extended periods.
