Associate Director, Advancement Services
Job Description
Job DescriptionPhillips Academy is seeking an experienced and strategic Associate Director of Advancement Services to lead the day-to-day operations of Advancement Services in support of engagement, fundraising, and stewardship efforts across the Office of Academy Resources (OAR). This position supervises 1 direct report (Advancement Services Coordinator) and partners closely with cross-campus departments to oversee system integrations, data governance, and the accuracy and integrity of constituent information. The Associate Director also plays a key role in evaluating and implementing new technologies and contributes to the development of policies and procedures that support OAR’s operational goals.
This position reports to the Director of Advancement Services and is hybrid, with up to 2 remote days per week once training is complete.
Primary Duties
- Lead daily Advancement Services operations and manage the workload of the Advancement Services Coordinator
- Supervise 1 direct report, including training, support, and performance management
- Develop and maintain record management policies and procedures
- Oversee data integrations, imports/exports, and exception reporting to ensure data accuracy and integrity
- Collaborate with campus partners to implement technical strategies and system improvements
- Monitor new system functionality, identify training needs, and troubleshoot system issues
- Assist with the selection and implementation of new applications and technologies
- Support Advancement colleagues during high-volume gift periods
- Participate in all-OAR events, including occasional evening or weekend work
Requirements
- Bachelor’s degree required
- 4+ years of database management experience with a complex CRM (Salesforce, Agilon, Blackbaud, or similar)
- Advanced Excel skills (pivot tables, lookups)
- Proficiency with Microsoft Office (Word, Excel, Outlook, Teams)
- 2+ years of supervisory experience strongly preferred
- SQL or similar programming experience strongly preferred
- Experience in nonprofit fundraising, preferably in an educational environment
