Administrative Assistant
Location: Boston, MA | Hybrid | Full-Time
H+O Structural Engineering specializes in mid-rise, high-rise, and large-scale building design. We’re building a national company, serving architects and real estate developers across the U.S.

The Role:
We’re looking for an Administrative Assistant to support our Founder and help us stay closely connected with the most influential people in commercial real estate and architecture. This role blends admin support, relationship outreach, and podcast coordination into one dynamic position.
You’ll follow - and continuously improve - our systems for managing segmented lead lists, crafting personalized outreach, coordinating podcast guests, preparing proposals, managing light website updates, and scheduling high-value meetings.
You’ll work directly with Co-Founder and Partner, Rens Hayes, and help drive key business objectives forward.
What You’ll Be Responsible For:

Managing Rens’ external relationships by keeping outreach systems sharp and timely.

Updating and organizing segmented HubSpot lead lists, research, and sequences.

Conducting personalized outreach to new prospects.

Executing personalized corporate gifting that reflect H+O’s brand and relationship-first approach.

Managing deal pipeline and proposal process.

Owning all podcast guest outreach, scheduling, confirmations, and prep.

Managing light website edits and updates as needed.

Collaborating with internal team members and external consultants as needed.

What Makes You a Great Fit:

1 - 2 years of experience in an administrative, marketing, or proposal coordination role. Bonus for AEC industry exposure.

Highly organized, proactive, and detail-oriented - nothing gets past you.

Strong written and verbal communication skills - you can tailor your tone to the audience.

Comfortable using tools like Microsoft Office, CRMs, and productivity apps.

Outgoing and warm - you enjoy making people feel seen and valued.

Naturally curious, coachable, and excited to embrace new tools (like AI!).

A builder of structure and systems - you create order behind the scenes and thrive in a fast-paced environment.

Remote flexibility increases once alignment and report are established. Initially, candidates must be able to work in downtown Boston 2–3x per week

Starting salary: $60,000+ based on experience and competencies
