Job Summary
In this position, your responsibilities will include supporting agents on the field, executing marketing initiatives, and completing routine administrative tasks. The ideal candidate would be flexible, able to complete tasks with short notice including in-person client showings, and have a strong work ethic as a self-starter. Responsibilities include but are not limited to the following:


Agent Role:

  • Run open houses
  • Schedule and handle smoke inspections
  • Schedule and handle bank appraisals
  • Install and uninstall lockboxes
  • Source and deliver client closing gifts
  • Handle some home inspections
  • Handle buyer second showings and/or measurement showings
  • Handle final walkthroughs
  • Handle contractor walkthroughs
  • Handle buyer showings, as needed, when we are on vacation or busy with other clients.
  • Open house follow up. Follow up with every open house sign-in to gather feedback and try to secure unrepresented buyers as clients.
  • Zillow lead follow up. Follow up with old and cold Zillow leads.

Marketing:

  • Dedicate time (~7 hours a week) to growing our online presence via social media, LinkedIn, Google, etc. We want someone who will create marketing initiatives and execute on them.
  • Plan events. Our plan is to have one or two client events per year going forward
  • Assist us by networking with other agents both in the Boston area and in other national markets to improve our external referral business.
  • Assist with past client retention efforts (check ins, gifts, etc)
  • Create and distribute a monthly newsletter
  • Update all listing presentations and other relevant marketing materials

Administrative:

  • Arrange stagers/cleaner etc for listings
  • Help us network with contractors, stagers, and other service industry professionals
  • Run weekly market reports on the markets we service
  • Provide weekly interest rate recaps with our preferred lenders
  • Set up final water and oil readings for our listings
  • Assist in preparing agents for showings (schedule showing, pull rental comps on a property, send CMA, etc)

Requirements:

  • Prior experience in real estate administration or related fields is preferred but not required; training will be provided
  • MA Real Estate Salesperson license preferred but not required at first
  • Strong organizational skills with the ability to multitask effectively in a fast-paced environment
  • Excellent communication skills, both verbal and written
  • Customer-service mindset
  • Ability to work independently as well as part of a team
  • Positive people skills
  • Administrative experience demonstrating attention to detail and organizational excellence
