iAutomation, a full-service automation company, developing robotic solutions and offering design, engineering, and integration (DE&I) services, product support, and production services, has an immediate opening for an Executive Assistant in Franklin, Massachusetts.
The Executive Assistant assists the CEO with daily administrative duties and completes a variety of administrative tasks that include managing an active calendar of appointments; completing expense reports; composing and preparing correspondence; arranging detailed travel plans, agendas and compiling documents for meetings; and PTO approvals.
- Communicates with CEO’s direct reports on the CEO’s behalf and coordinates logistics with high-level meetings; attends high-level meetings; takes meeting minutes and provides recap of action items for all meetings
- Access to Executive Team calendars, conducting daily check-ins, rescheduling overlapping meetings, and ensuring PTO blocks are accurately reflected on the CEO's calendar.
- Serves as the CEO’s administrative liaison to the Board of Directors, including arranging logistics BOD quarterly dinners and meetings
- Uphold strict level of confidentiality
- Other administrative support to direct reports of CEO, as needed
- Organization of contracts, coordination of signatures, creation/handling of CAPEX forms, and discussions/edits with an attorney on NDAs and other contracts
- Scheduling of hotel rooms, cars, flights, conference rooms, reservations and catering for visiting guests/employees and off-site meetings
- Employee event coordination
- Overseeing and leading of the Reception function
- Serving as back up to the receptionist when she is out of the office
- Serving as backup for facility management (i.e. facilitating service calls, parking issues, facility upgrades, etc.)
- Overseeing of the visitor process and conference room schedule at all sites
- Overseeing of office supply and catering ordering
- Point of contact for professional cleaning service company for all sites
- Lead internal Employee Resource Group (Involvement Committee)
EDUCATION AND EXPERIENCE
Requires High School Diploma or equivalent, an Associates degree in office administration or related field preferred, with 3+ years of work experience as an Executive Assistant, Personal Assistant or similar role.
- Excellent MS Office knowledge
- Outstanding organizational and time management skills
- Familiarity with office gadgets and applications (e.g. e-calendars and copy machines)
- Excellent verbal and written communications skills
