JOB SUMMARY


As our Executive Assistant / Office Coordinator, you will play a critical role in supporting and enabling the company president and ensuring the smooth operation of the agency as a whole.


You will be responsible for efficiently managing calendars including scheduling meetings, arranging travel, and anticipating any conflicts that derail optimal use of the team’s time and attention. You will coordinate and prepare for internal and external meetings, and act as a liaison between employees, vendors, stakeholders, and the president. You will maintain the office physically and culturally, and seek out opportunities to improve all aspects of the business and the office. You will take on diverse projects and resolve issues as they arise.


QUALIFICATIONS

  • You consistently demonstrate a positive attitude and desire to manage multiple projects at once
  • You bring 3+ years of experience providing direct, multifaceted support to executive-level professionals (within a marketing agency setting is a plus!)
  • You are a critical thinker and problem solver
  • You have a demonstrated ability to remain organized and prioritize projects in a fast-paced environment
  • You manage ambiguous situations well
  • You have excellent skills in the following areas – even when under pressure: written and verbal communication; attention to detail; managing office technology tools; motivating others; tact and diplomacy

PHYSICAL REQUIREMENTS


You are able to:

  • Sit or stand while using a computer for extended periods
  • Perform keyboarding, mousing, and other repetitive tasks
  • Travel to Salem, MA office and work on-site on a regular basis
  • Occasionally lift office supplies/objects


WORK ARRANGEMENT AND BENEFITS


This on-site position (with hybrid flexibility) is located 2 blocks from the Salem, MA train and bus station. The annualized hourly, full-time salary range for this position is $58,000-$72,000. The agency offers a range of benefits uncommon for a company of its size including, but not limited to, company contribution to health insurance and dental insurance, 401k with company contributions, fitness club discount, cell phone stipend, parking (or transportation stipend), flexible work schedules, and professional development reimbursement.
