The Mission:

We are seeking a high-caliber Executive Operations Coordinator to serve as the "central nervous system" for our CEO and Chief Strategy Officer. This role is for a sharp, organized professional who thrives on turning strategic vision into operational reality.
The Role:
This is not a traditional administrative position. You will act as a force multiplier for the leadership of our primary company and its two sister companies. You will gain direct exposure to high-level strategic planning, financial oversight, and regional expansion across Rhode Island, Massachusetts, and Connecticut.
Job Description:
- Strategic Guard & Accountability: Attend confidential leadership meetings to capture key action items. You won’t just take notes; you will track these items to completion across the entire group, ensuring the executive team stays focused on high-value targets.
- Operational Hygiene & Financial Support: Partner in our financial "reset" by assisting with light AR/AP and managing vendor rebate claims (co-op funds). You will be the guardian of data integrity within our Prophet 21 (ERP) and Zoho (CRM) systems.
- Project Command: Serve as the air traffic controller for projects spanning multiple branches. You will ensure that communication and resources flow seamlessly between the primary office and regional sister companies.
- Vendor & Incentive Management: Act as the primary point of contact for world-class manufacturer partners (e.g., Eaton, Honeywell, Acuity Brands). You will track and maximize business development funds and internal incentive programs.
Qualifications We Value:
- The Focused Mind: A proven history of supporting senior leadership with absolute discretion. You understand the weight of handling sensitive financial, personnel, and strategic data.
- The Tracking System Wizard: You are highly proficient in Excel and the Office suite. You are an early adopter of technology who builds systems to verify data and drive team accountability.
- The Systems Thinker: You have a passion for documented processes (following "E-Myth" principles) and professional proficiency in Outlook. Experience in Prophet 21 or Zoho is a significant advantage.
- Outcome-Oriented: You prefer being measured against transparent, tracked outcomes rather than just "staying busy." You take pride in "owning" the result.
