Position: Receptionist
Department: Administration
Reports to: Office Manager/Administrative Supervisor
Job Summary: We are seeking a professional and friendly Receptionist to serve as the first point of contact for our organization. The ideal candidate will provide exceptional customer service while managing front desk operations and supporting various administrative functions.
Key Responsibilities:
Front Desk Operations Answer and direct incoming phone calls in a professional and courteous manner. Greet and assist visitors, clients, and employees with a welcoming attitude. Manage visitor sign-in process and issue visitor badges as needed. Maintain a clean and organized reception area that reflects the company's professional image.
Administrative Support Schedule appointments and manage conference room bookings. Receive, sort, and distribute mail and packages. Handle incoming and outgoing correspondence including emails and fax communications. Maintain office supplies inventory and coordinate with vendors for restocking. Assist with basic data entry and filing tasks as needed.
Communication and Coordination Serve as a liaison between departments and external contacts. Take accurate messages and ensure timely delivery to appropriate personnel. Provide general information about the company to callers and visitors. Support special events and meetings by coordinating logistics and setup.
Required Qualifications: High school diploma or equivalent required. Previous receptionist or customer service experience preferred. Excellent verbal and written communication skills. Professional appearance and demeanor. Strong organizational skills with attention to detail. Proficiency in Microsoft Office Suite and basic computer skills. Ability to multitask and work in a fast-paced environment.
Preferred Qualifications: Associate degree in business administration or related field. Experience with multi-line phone systems and office equipment. Familiarity with scheduling software and database management.
Work Environment: Full-time position with standard business hours (Monday-Friday, 8:00 AM - 5:00 PM). Primarily desk-based work in a professional office setting.
