The Yachtsman Condominium Trust (YCT) is a self-managed property with 125 townhome-style condominiums in Hyannis, Massachusetts. The Property Manager (PM) is a year-round full-time post with responsibility for running the Yachtsman’s office, overseeing all property management tasks, and managing one part-time staff member and a number of seasonal hourly employees.

Primary Responsibilities:

Follow the protocols set forth in the Yachtsman Property Management Manual (PMO Manual), including but not limited to: responding to communications from Unit Owners by phone, email, and in-person; regularly inspect the property to identify potential issues and ensure compliance with standards. This will include inspecting the crawls spaces under the buildings; review, maintain, and respond to Property Manager Common Area Task List (Google Doc); Schedule and supervise all third-party vendors, including but not limited to landscaping, trash disposal, window washing, pest control, pool maintenance, and snow plowing; draft (in MS Word or the equivalent) requests for proposals for major external vendor work with Board input and review of proposals received. Present summary report and recommendation to Board. Also:

  1. Supervise the Property Assistant/Groundskeeper. Ensure that staff completes assigned tasks in a timely fashion, including abiding by landscaping standards in PMO Manual.
  2. Work with the Board to recruit seasonal help for both Grounds maintenance and lifeguard positions.
  3. Execute the Accounts Payable and Financial Control tasks as set forth in PMO Manual.
  4. Oversee the annual distribution of boat and bicycle stickers, including the charging of fees to Unit Owners
  5. Help onboard new vendors into the existing YCT Accounts Payable business processes (coordination with 3rd party bookkeeping vendor)
  6. Assist the Board (Treasurer primarily) in preparing invoices for Unit Owner Reimbursable work coordinated by the PMO and paid directly by the YCT to the 3rd party vendor.
  7. Coordinate paperwork for Unit Owners rentals, including review of documents, insurance documents, and Town licensing. Maintain rental log.
  8. Coordinate with Unit Owners who submit Unit Improvement Requests; ensure that all necessary information has been provided before requests are submitted to the Board for final approval. Follow up to ensure that the work is completed as approved.
  9. Provide oversight for any capital projects presented by the Board.

Additional responsibilities include:

· Build good relationships with Unit Owners, Board members, and co-workers.

· Prepare a summary report for Board’s monthly meetings and occasional project-related meetings

· Pool oversight and procedures as well as pool emergency procedures.

· Cover trash collection when Property Assistant is out of office.

Job Requirements:

  1. Education – High School or equivalent plus applicable vocational or technical training
  2. 2+ year of Property Management experience - Condominium industry experience is a plus
  3. Ability to obtain a Certified Pool Operator certification (Education/Training provided)
  4. Strong customer service skills
  5. Strong written and verbal communication skills
  6. Strong knowledge of the building trades is a plus
  7. Independent problem solving and self-motivation are critical.
  8. Computer Skills – Gmail, Microsoft Office, Scanning.
  9. Valid Driver’s License and reliable transportation is required.
  10. Ability to lift 50 lbs.

Job Type: Full-time Salaried/Exempt, In-Person – Mon. - Fri,; June to Labor Day Mon.-Fri., Sat. until noon.

Rotational On-Call responsibilities.

Some overtime required (on-call, weekends, 24hr emergency, etc.)

Location:Hyannis Massachusetts

Salary: $80,000 to $95,000 commensurate with experience and qualifications.
