Job Title: Mobile Associate – Client Services

Location: Based in Boston, MA | Supporting multiple sites across the Boston metro area

Compensation: $20.00 per hour

Schedule: 6:30 AM – 7:00 PM | Varying 8-hour shifts, Monday through Friday

Overview:

As a Mobile Associate – Client Services, you will play a vital role in supporting both in-office operations and on-site client services across multiple locations throughout the Boston area. This hybrid position combines administrative responsibilities with mobile, client-facing tasks—making you a key player in ensuring seamless office functions and exceptional customer service.

You’ll report directly to the Client Relations Manager, serving as a trusted point of contact across locations. From managing switchboard communications to delivering conference and mailroom services, your ability to multitask, stay organized, and travel between sites will directly contribute to the success of daily operations.

Key Responsibilities:

Switchboard Operations & Call Management

  • Manage incoming/outgoing calls using the company switchboard with professionalism and accuracy.
  • Maintain an updated staff directory for effective call routing.
  • Route calls and take messages with discretion, ensuring confidentiality at all times.
  • Monitor multiple phone lines to ensure responsiveness and a high level of service.
  • Log calls, track inquiries, and report trends for internal insights.

Client Services & Administrative Support

  • Greet and assist callers and visitors with a warm, service-oriented demeanor.
  • Respond to general inquiries about the company and its services.
  • Provide general administrative support, including filing, data entry, scheduling, and handling correspondence.
  • Coordinate internal communications and support office events, meetings, and special activities.
  • Maintain confidentiality and security of all client and company information.

Conference & Meeting Support

  • Set up and break down meeting rooms, including AV equipment, layout, and staging.
  • Coordinate catering services and ensure accurate, timely delivery.
  • Manage supplies to support meetings and ongoing operations.

Mobile & On-Site Support

  • Travel to various client sites across the Boston metro area to provide coverage and support as needed.
  • Deliver materials, perform on-site administrative tasks, and assist with client-facing services.
  • Collaborate with on-site teams to ensure continuity of service and communication.
  • Provide basic troubleshooting for mobile devices or office equipment and escalate as needed.

Mailroom & Print Services

  • Sort, process, and distribute incoming/outgoing mail and packages.
  • Handle print requests (binding, scanning, bulk jobs) and maintain supply inventories.
  • Keep print and mail areas organized and operational.

Training & Development

  • Participate in ongoing training through platforms like Cornerstone to build expertise in concierge and client services functions.
  • Stay up to date on safety procedures, company policies, and service standards.

Qualifications:

  • High school diploma or equivalent required; associate or bachelor’s degree preferred.
  • Minimum 1 year of experience in customer service, administrative, or mobile support roles.
  • Proficient in Microsoft Office Suite (Word, Excel, Outlook) and comfortable with basic technology.
  • Valid driver’s license and reliable transportation for travel between Boston sites.
  • Strong organizational, communication, and interpersonal skills.
  • Ability to work independently and adapt to various work environments.
