Job SummaryThe Senior Administrative Assistant provides advanced administrative and operational support to a corporate team within a fast-paced retail organization. This position requires a high level of professionalism, attention to detail, and the ability to manage multiple priorities. The ideal candidate will demonstrate strong communication, organizational, and problem-solving skills while handling confidential information with tact and discretion.This hybrid role requires in-office collaboration with team members on designated days.Key Responsibilities

  • Schedule and maintain multiple complex calendars, coordinate meetings, and manage logistics.
  • Arrange travel itineraries, book accommodations, and process travel expenses.
  • Serve as the primary point of contact for internal and external partners, handling inquiries with professionalism and confidentiality.
  • Organize and maintain files, records, and document management systems.
  • Analyze and refine administrative workflows, recommending process improvements.
  • Support department meetings, training sessions, and events, including catering and room bookings.
  • Prepare presentations, reports, and spreadsheets using Microsoft Office Suite.
  • Manage and administer department payroll and timekeeping.
  • Provide back-up support for other administrative team members as needed.
  • Coordinate logistics for department summits, all-hands meetings, and team-building activities.
  • Serve as a proxy in designated systems such as Oracle and Workday.
  • Ensure smooth communication and information sharing between departments.

Required Qualifications

  • 10+ years of administrative experience in a corporate environment.
  • Proven ability to manage multiple priorities with strong attention to detail.
  • Expert proficiency in Microsoft Office (Excel, PowerPoint, Word, Outlook).
  • Experience with Oracle (expenses) and Workday systems.
  • Strong interpersonal and communication skills, both written and verbal.
  • Demonstrated ability to maintain confidentiality and professionalism.
  • Excellent organizational, time management, and multitasking skills.
  • Ability to work independently while thriving in a team environment.
  • Resourceful problem-solver with a customer-service orientation.
  • Experience supporting executives, managing calendars, scheduling meetings, and processing expenses.

Preferred Qualifications

  • Prior experience supporting leadership within a retail, corporate, or Fortune 500 environment.
  • Demonstrated success in event coordination or project-based administrative support.
  • Strong relationship-building and cross-functional collaboration skills.
