We are seeking a highly organized and proactive Onboarding Specialist to join our People & Talent team. This role plays a critical part in ensuring a smooth and engaging candidate and new hire experience by supporting key processes in both recruiting and employee onboarding.
The Onboarding Specialist will collaborate closely with recruiters and hiring managers to coordinate interview scheduling, draft and manage offer letters, and oversee the administrative steps following offer acceptance. Once a candidate becomes a new hire, this role will take the lead on organizing and scheduling new hire training sessions to ensure a strong start to their journey.

Location
This position is based in our Concord, MA office. A hybrid schedule is available.
Travel Expectations:
The candidate may be required to travel to other Tripleseat locations.
Core ResponsibilitiesRecruiting Support

Post job openings to internal and external job boards.

Research and utilize non-traditional sourcing channels (e.g., user groups, trade associations, communities).

Review and screen incoming resumes via the Applicant Tracking System (ATS).
Monitor and assess external job alerts for qualified candidates.
Administrative Coordination

Create and maintain candidate tracking systems by team and hiring manager.

Prepare and distribute recruiting reports and metrics to assess effectiveness.

Schedule and coordinate interviews between candidates and internal stakeholders.

Welcome candidates onsite, acting as a professional and friendly representative of the company.

Coordinate travel logistics and process expense reimbursements for candidate visits.

Support Lead Recruiters with general administrative tasks to ensure focus remains on talent acquisition priorities.
New Hire Onboarding Coordination

Support and coordinate the end-to-end onboarding process for new hires (e.g., pre-boarding, Day 1 orientation, Week 1 setup).

Serve as a main point of contact for new employees from offer to ramp-up.

Partner with cross-functional teams (IT, Hiring Managers, Functional Leaders) to ensure timely delivery of equipment, system access, and onboarding resources.

Monitor onboarding milestones and check-ins during the new hire ramp-up period.

Collect feedback and continuously improve onboarding programs and materials.

Maintain accurate records and onboarding status in HRIS and documentation tools.

Support compliance with employment laws and internal policies during onboarding.
Knowledge, Skills and Abilities Required

0–2 years of experience in an administrative, executive assistant, or recruiting coordinator/assistant role.

Strong interpersonal and communication skills; outgoing, professional, and approachable demeanor.

Experience working with recruiters and leaders to support hiring needs.

Highly detail-oriented with the ability to manage multiple tasks, timelines, and priorities.

Self-starter with the ability to work independently and take initiative with minimal supervision.

Proficiency in G-Suite applications; familiarity with Applicant Tracking Systems.
