Executive Assistant/Office Manager
We are America’s #1 Arch Support Company, and we are growing! We have an immediate need for an experienced Executive Assistant to join our team and support our Executive team.
Summary:
As the Executive Assistant/Office Manager, you will play a crucial role in ensuring the smooth functioning of our organization by providing executive level administrative support to our leadership team and acting as a trusted liaison between the executives and various stakeholders.
Responsibilities:
Support Executive with day-to-day administrative needs, including, but not limited to:
- Preparing materials needed by the executive team for meetings, correspondence, appointments, telephone calls, etc., and informing executives on matters to be considered.
- Staying current with projects that the executive team is currently managing and acting or referring issues that are important to moving the projects forward.
- Setting up new hires with equipment, clean workspace
- Managing the executive team schedule, anticipating preparation time and materials, conflicts, and follow up needs.
- Booking web conferences and/or travel and arranging meetings, managing complex schedule for executive team and direct reports.
- Preparing expense reports, approving expense reports for direct reports.
- Screening telephone calls, greeting visitors, opening, and distributing incoming correspondence; personally, responding to requests for information concerning office procedures; determining which requests should be handled by the executive, appropriate staff member, or another department.
- Coordinating meetings, trainings, and conferences; assembling and distributing background materials well in advance of all meetings
- Coordinating department activities (e.g., birthday and service anniversary recognition)
- Assisting with office tasks, including supporting front desk/reception and mail room, as needed
- Assisting members of department with software and systems’ needs, as necessary
- Working with IT, managing departmental IT needs
- Carrying out repetitive office procedures independently
- Ordering office supplies, snacks, and other office items
- Supporting ad hoc projects as needed

Requirements:
Travel Requirements:
This position could involve occasional travel to support our executives during business trips and off-site meetings. The estimated travel frequency is less than 10% and it may vary based on the executives' schedules and business needs.
Education and/or Experience:
- High school degree or GED required. Associate or bachelor’s Degree strongly preferred.
- Must have 3-5 years of related job experience supporting high level executives required
- Positive “Can do” attitude mandatory. Must be a self-starter.
- Exemplary skill with software programs including Microsoft Outlook, PowerPoint and Excel
- Ability to prioritize and handle multiple tasks with poise.
- Ability to be an effective team player and be empathetic to all employees.
- Ability to use discretion under a variety all circumstances and especially when managing confidential information.
