Position Overview
We are seeking a Clinical Care Coordinator to join our dedicated operations team. This position includes providing support for our Psychiatric Medication Management Program. The ideal candidate is organized, detail-oriented, and empathetic—someone who enjoys helping clients navigate their behavioral health care journey. This role serves as the first point of contact for clients, supporting the scheduling, registration, and coordination processes that ensure each client receives timely and exceptional care.
Key Responsibilities
- Serve as the first point of contact for clients by managing reception phone calls, emails, and in-office inquiries.
- Manage and respond to incoming correspondence via email inbox and fax line.
- Tracking and coordinating clinical tasks with providers.
- Scheduling and rescheduling follow up visits.
- Assist with refill requests and prior authorizations.
- Support client transitions into IBC or between IBC providers.
- Ensure client paperwork, consents, and demographic information are accurate and up to date.
- Assist clients with online registration and client portal access.
- Process client credit card payments and manage card-on-file agreements securely.
- Enter and maintain accurate client insurance information.
- Manage medical records requests in compliance with HIPAA standards.
- Assist with periodic projects and administrative duties assigned by the Director of Operations.
Qualifications
- Strong communication and customer service skills.
- Excellent organizational skills and attention to detail.
- Proficiency with electronic health record (EHR) systems and Microsoft Office preferred.
- Experience in a behavioral health, medical office, or related healthcare setting is highly desirable.
- Ability to work independently and as part of a collaborative administrative team.
- Professional, friendly, and empathetic demeanor with a commitment to client-centered service.
Compensation & Benefits
• Competitive hourly rate
• Schedule: Approximately 28-30 hours per week (Monday – Thursday)
• Paid Time Off: 3 weeks per year + 7 paid holidays (PTO prorated for part-time status)
• Benefits: Eligibility for dental, vision, and 401(k) participation based on employment status
