Job Title:

Billing Assistant

Reports to:

Medical Billing Manager


Job Purpose:

The Billing Assistant will support the finance team and Medical Billing Manger, performing an array of administrative functions requiring confidentiality, initiative and sound decision making. This position provides high-quality administrative support and assistance with the preparation of the claims billing process, general administrative functions, and special projects.

Duties and Responsibilities:

  • Enter PCA visits into excel spreadsheets for billing preparation
  • Initiate telephone calls, send faxes requesting insurance referrals when required
  • Enter SCO and MH authorization dates into billing sheets for monthly claims billings
  • Submit SCO/OneCare Claims as needed
  • Assist Biller with insurance eligibility changes
  • Purchases all office, program, and IT supplies through approved supply request process
  • Provides purchase documentation to Accountant for payment and/or reconciliation
  • Provide admin support for CFO, Finance Team, and agency special projects
  • Open, sort, and distribute incoming correspondence, including faxes and email Prepare business correspondence
  • Maintains confidentiality in all aspects of consumers, staff and, agency information
  • Make copies of correspondence or other printed Materia May work independently and/or within a team on special nonrecurring and ongoing projects
  • Other duties and special projects as assigned

Interpersonal Communication:

  • Model integrity, personal and professional ethics and maintain confidential consumer and organizational data
  • Maintain a positive working relationship with consumers, co-workers, referral sources and others to achieve positive outcomes
  • Maintain updated computer technology competencies i.e. Microsoft Word, Excel, Outlook, and PowerPoint

  • Work as an effective team member in a collaborative manner through strong individual contribution and commitment
  • Demonstrate effective communication and problem-solving skills, both verbally, written, and in electronic formats

Education, Experience and Required Skills

  • High School Diploma required, Associates Degree preferred
  • Minimum of 3 years’ experience in an administrative role, 3+ years supporting
  • Ability to manage time, plan and organize work
  • Ability to work independently on assignment
  • Confidentiality of information and files of persons served is essential to the operations of the center and thus mandatory for this position
  • Ability to independently prioritize and multitask in a fast-paced environment
  • Excellent verbal, written and interpersonal communication skills
  • Excellent organizational skills and follow-through skills
  • Advanced proficiency in PowerPoint, Excel, Word, and Outlook required
  • Team-player mindset
  • Knowledge of disability issues and basic philosophy of the independent living movement
  • Ability to work a flexible schedule
  • Some travel required
  • Predictability of attendance and punctuality are critical to the Center's operations


Compensation: Compensation rate is commensurate with experience and education.

Review Policy:

Medical Billing Manager will complete performance appraisal with employee at the completion of a six-month probation period. Job duties and assignments will be reviewed at this time. Thereafter, performance appraisals will be completed and reviewed annually.
